The Finance Department:

Position Overview:

The Associate, Payment Services has responsibility for administering the policies and procedures established to process and monitor contract and non-contact purchase order payments at Pew. The primary duties of the Associate are monitoring invoices submitted from domestic and international contractors, entering information into the Oracle PeopleSoft, analyzing invoices and supporting documentation and creating vouchers and related documents for review and approval by staff. The Associate reports to the Senior Manager, Disbursements.

Responsibilities

  • Monitor and manage contract invoices submitted to Pew (domestic and international) daily.
  • Work closely with vendors and Pew staff members to facilitate payments.
  • Review vendor invoices for completeness, including coding.
  • Investigate, reconcile and problems solve past payment issues.
  • Enter vouchers related to contracts and obtain approval for release of consultant payments.
  • Monitor and manage unapproved vouchers, ensuring vouchers receive appropriate approval and payment is made to vendor.
  • Enter lobbying expense information into the PeopleSoft Lobbying interface as it pertains to expenses for vendors and employees accurately and timely.
  • Work on resolving match exception reporting.
  • Provide information to Pew staff on aspects of contracts, invoices, purchase orders, lobbying information, monthly payment procedures, and preparation of related documents.
  • Prepare memos, schedules and other information for Senior Manager, Disbursements.
  • Ensure proficiency in assigned backup responsibilities, i.e., employee expense reimbursement, third-party reimbursement, check requests, and purchase order vouchering.
  • Seek opportunities for improvement related to the accounts payable function and working within Enterprise system.
  • Assist with the revision and updating of policies and procedures. Prepare, update and distribute, as necessary, the Accounting/Payment Services policies and procedures manual.
  • Work under minimal level supervision. Seek guidance on problems as needed.
  • Contribute to and participate in tasks and special projects as assigned. Participate in Pew¬ wide projects related to the Finance unit as necessary.
  • Assist with month and yearend close and annual audit.

Requirements

  • Associate’s degree required; Bachelor’s degree preferred.
  • Minimum of one year accounts payable experience is required and/or accounting/financial work experience in a fast-paced environment.
  • Proficiency with accounting software packages (Oracle PeopleSoft preferred) or other budget and accounting applications preferred.
  • Proficiency with MS-Excel and Office related products preferred.
  • Demonstrate strong research and analytical skills; ability to investigate an issue, ask thoughtful questions and recommend alternative resolutions as appropriate.
  • Highly responsive to requests and has a commitment to providing high quality service.
  • Maintains a customer service demeanor at all times.
  • Excellent clerical and mathematical skills as well as attention to detail are required.
  • Excellent written and oral communication skills as well as reading comprehension.
  • Exhibits judgment in practical matters and critical decisions, choosing wisely after contemplating various courses of action.
  • Keen attention to detail and excellent organizational skills. Able to balance multiple priorities, organize time and identify resources for projects.
  • Strong interpersonal skills: articulate and self-assured. Ability to develop productive relationships both internally and externally.
