Finance

Position Overview
The Associate, Payment Services and Payroll will be responsible for supporting Pew’s Payment Services and Payroll teams. The primary duties of the Associate are providing day-to-day Payment Services and Payroll functions, which includes but not limited to, reviewing employees’ expense submissions, processing vendor invoices, administering commuter benefits, and reviewing timesheets (for both domestic and international employees). The ideal candidate will demonstrate strong analytical, project management, organizational, communication and customer service skills. This Associate position, reports directly to the Manager, Payroll and indirectly to the Senior Manager, Disbursements and is based in Washington, DC.

Responsibilities

  • Understand Pew’s key policies relevant to the reimbursement of allowable business expenses, such as Travel Policy, Corporate Card Policy, and Business Expense Reimbursement Policy.
  • Review and audit employee expense reports in PeopleSoft for proper documentation, coding, approval and compliance with relevant policies.
  • Follow-up with staff regarding un-coded and unapproved expenses in accordance with the policy.
  • Participate in monthly expense reports review process.
  • Assist in creating Contract vouchers during peak times, which requires full understanding of Pew’s Contracts with suppliers.
  • Seek opportunities for improvement related to the accounts payable function and working within Enterprise system.
  • Contribute to and participate in tasks and special projects as assigned. Participate in Pew¬ wide projects related to the Finance unit as necessary.
  • Process day-to-day payroll functions as directed including receiving, coding, verifying and entering data for all payroll transactions.
  • Ensure that employee records are uploaded for document retention
  • Maintain the Workday Time and Attendance system, which includes maintaining metrics on un-submitted, unapproved and blank notifications, and following up with employees on timecard delays/issues.
  • Maintain international timecards both manual and through Workday, update spreadsheets, and follow up with employees on timecards delays/issues
  • Update and verify employee payroll data in all payroll-related systems including; Workday HPW, Workday Time Pro, Workday and on-line commuter benefits systems.
  • Process requests for verification of employment for active and departed staff.
  • Assist Senior Associate, Payroll in answering payroll questions.
  • Assist with month and year-end close and annual audit.

Requirements

  •  Associates degree required. 
  • Minimum of one year of relevant accounting, accounts payable, and payroll experience is required. 
  • Strong problem solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multitasking skills.
  • Strong organizational skills, including the ability to set priorities, juggle multiple tasks, organize time, and track details in a fast-paced, dynamic environment.
  • Strong interpersonal and communication skills, ability to organize time and adhere to deadlines are required. Strong oral communication skills including a polished telephone manner. Uses appropriate grammar in verbal or written form. Maintains a customer service demeanor at all times.
  • Proficiency with accounting software packages, HRIS software packages, and MS Excel is required. Workday and PeopleSoft experience is strongly preferred. Experience with time and attendance is required. Ability to link accounting systems to Excel, generate reports in software is preferred. Willingness to learn new skills is a must.
  • Good analytical and mathematical skills. High attention to detail. Vigilant and confident. Monitors and double checks work and information for accuracy and quality.

Travel

This position is based in Pew's Washington, DC office.
